The toastmaster's guide to a party people remember
The toastmaster's real job is not telling jokes — it is owning the running order so the couple do not have to. Here is the checklist we would give a friend who just said yes to the role.
Collect everything before the seating plan is final
Ask for speeches, songs and surprises in one message to all guests, with a deadline. You cannot build a running order out of surprises — and the kitchen needs to know when the main course can land.
Put the big speeches early
Fathers, mothers and best men speak best to a sober, hungry room. Save the open microphone for later, and park the six-minute slideshow after dessert.
Time everything, then add a third
A speech announced as five minutes lasts seven. A game announced as fifteen lasts twenty. Build slack in between the courses, and agree on a signal with the kitchen.
Entertainment goes between courses, not between speeches
Two speeches back to back is fine; two games back to back kills both. Use a game to reset the room after a long block of speeches — it gets people talking across the tables again.
Test the tech before the guests arrive
Everything that touches the screen — slideshows, quizzes, videos — gets tested on the venue's own equipment in the afternoon: cable, sound and Wi-Fi. Saturday night is a bad time for a software update.
You cannot run the room and be in every photo
Delegate: one friend herds people for photos, one minds the gifts, you mind the clock. The toastmaster who tries to do everything is the one who misses dessert.
